Moving from 50 Excel sheets to one system

Most growing businesses don't run on software — they run on a folder full of Excel sheets, copied around over email and WhatsApp. The sheets work, until they don't. Numbers stop matching. The “master” file becomes a daily debate. Reports are always one day behind reality.

The instinct is to throw it all out and start fresh. Don't. The sheets are an asset — they encode every workflow and every exception your team has solved over years.

A practical migration order

  1. Master data first. Customers, products, vendors. One source of truth that other sheets stop owning.
  2. Daily transactions next. Orders, payments, visits, dispatches. The columns become forms; the rows become records.
  3. Reports last. Once the inputs are clean, the reports rebuild themselves. Stop maintaining seven versions of the same pivot.

Don't break the habit

If a team is comfortable in Excel, fight to keep the muscle memory. Use grid views where they make sense. Allow CSV import for the long tail. Let WhatsApp and email keep being the inputs they already are. The win isn't “we stopped using Excel” — it's “the number we look at every morning is finally correct.”
